Who we are
EVO (“we”, “us”) provides the EVO app and the website evosport.tech. We are responsible for the personal data described here. If you have a question about this policy or your data, email support@evosport.tech.
What this policy covers
This policy explains what personal data the EVO app and website collect, why, who we share it with, how long we keep it and your rights. It applies to coaches, athletes, parents and anyone who contacts us.
The data we collect
- Account details: your email address, a password (stored securely by our login provider, never visible to us), your name, whether you are an athlete, coach, organisation (such as a school or club) or parent, your sport, your plan and when you agreed to our terms. Athletes also give their date of birth when they sign up.
- Athlete details: coaches, organisations and parents add athletes (one at a time or by importing a list) with a full name and date of birth and, if they choose, a photo, club, squad, shirt number, positions, preferred foot, height, weight, the date they joined, their status, notes and membership.
- Parent or guardian details: for athletes aged 13 or under, the name of their parent or guardian (schools and other organisations may keep this in their own records instead), their email if given, and a record of when and by which account their agreement was confirmed.
- Results: test results such as times, jump heights and bleep test levels, with the date, the test, how it was recorded and any notes.
- Training plans: plans EVO builds from an athlete’s results, and which sessions they mark as done.
- Subscription records: your plan, and each payment for it (the amount, the date, the period it covers and whether it went through the App Store or Google Play). We never see card details.
- App use: the days you open EVO, roughly when, how often, and which screen you were last on. This helps us keep EVO running well, spot problems and see which features are used. It is never used for advertising.
- Club information: sessions, bookings, payment records (the amount and whether it has been paid; we never see card details), saved reports and standards.
- Report sharing: email addresses a coach enters to receive reports.
- Messages to us: what you send through the contact form or by email.
- Technical data: basic information needed to keep the service running and secure, such as log records kept by our hosting providers.
The camera
EVO uses your phone’s camera to time tests and measure jumps. The video is checked on your phone, in real time, to spot when an athlete crosses a line. Video is never recorded, saved or uploaded. Only the resulting time or measurement is saved. When two phones are linked, they exchange timing signals only, not video. You can turn off camera access at any time in your phone’s settings.
How we use your data
- To create and run your account and show you your results, reports and progress (needed to provide the service you signed up for).
- To let coaches manage their athletes, sessions and reports, and let athletes see results their coach records (our legitimate interest in providing a coaching tool, and the club’s legitimate interest in running its programme).
- To send reports by email when a coach asks us to.
- To check ages and keep a record of parent or guardian agreement for children aged 13 or under (needed to protect children and meet the law).
- To answer your questions and provide support.
- To keep EVO secure, fix problems and improve it.
We do not sell your data, and we do not use it for advertising.
Children and young athletes
Many athletes on EVO are under 18, so we take extra care with their data.
- Aged 13 or under: a child can’t create their own EVO account. A parent or guardian, or a coach who has the parent or guardian’s agreement, adds them first. EVO will not save a child aged 13 or under until a parent or guardian is named and their agreement is confirmed, and we keep a record of when that happened and who confirmed it. The child can only get their own login with an invite code from that adult.
- Age checks: athletes give their date of birth when signing up. Anyone who says they are 13 or under is stopped and asked to get an adult to register them, and the phone remembers this. Coach, club and parent accounts are for adults aged 18 or over. No online age check is perfect: if we learn that a child aged 13 or under has an account without a parent or guardian’s agreement, we will close it and delete their data.
- Aged 14 to 17: athletes can create their own login, usually with a code from their coach. We encourage them to tell a parent or guardian.
- What we don’t do: we never use children’s data for advertising or marketing, never sell it, and only show it to the coach or parent who added them and, if linked, to the child. Parent reports leave out comparisons with other players.
- Parents’ rights: a parent or guardian can ask to see, correct or delete their child’s data at any time. Contact the child’s coach or email us at support@evosport.tech.
Who can see your data
- Coaches see the athletes, results and reports in their own account.
- Athletes with a linked login see their own results, sessions and reports their coach publishes to them. Squad rankings may show other athletes in the same squad.
- Performance Passport: if an athlete (aged 13 or over) or their parent creates a passport link, anyone with that link can see the athlete’s verified results. It can be switched off at any time.
- Talent Discovery: only if an athlete opts in. Athletes under 13 can never join, under-16s can only be added by a parent account, and 16 and 17 year olds need a parent or guardian’s agreement. Clubs on the Academy plan or above can then find them and ask to see their passport.
- EVO staff: a small number of EVO staff can look at an account when needed to give support, fix a problem or keep EVO secure.
- Share links: if a coach or athlete creates a share link or Google Sheets link for a report, anyone with that link can see the report. It can be switched off at any time.
- Each account can only reach its own data. This is enforced by the database itself, not just by the app.
Service providers
We use trusted providers to run EVO. They process data only on our instructions:
- Supabase: database and secure login.
- Netlify: hosting for the app and website, and the website contact form.
- Resend: sending report emails.
- Apple App Store and Google Play: app downloads and subscription payments. They handle payment details under their own privacy policies.
- RevenueCat: confirms App Store and Google Play subscriptions to us. It receives your EVO account ID and subscription details, never card details or your name.
- Google Sheets: only if a coach chooses to connect a report to a Google Sheet.
Some providers may process data outside the UK. When they do, we rely on legal safeguards such as UK adequacy regulations or standard data protection clauses.
Cookies and storage
The app stores small amounts of information on your device to keep you signed in and remember your settings. We do not use advertising or tracking cookies. The website does not set cookies.
How long we keep data
We keep your data while your account is open. When you delete your account, your data is removed from our live systems straight away and from backups when they are next replaced. When a coach deletes an athlete, that athlete’s results are deleted too. Messages to support are kept only as long as needed to help you.
Deleting your account
In the app, tap More, then Settings, then Delete account. Or email support@evosport.tech from your account’s email address. See what gets deleted.
Your rights
Under UK data protection law you can ask to see the data we hold about you, correct it, delete it, limit how we use it, object to how we use it, or receive a copy to take elsewhere. Email us to make a request. If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office at ico.org.uk, but please contact us first so we can try to help.
Security
All data is sent over encrypted connections (HTTPS). Passwords are handled by our login provider and are never stored in plain text. Access to data is limited to the account it belongs to.
Changes to this policy
We may update this policy as EVO changes. We will show the date of the latest version at the top of this page and tell you in the app about important changes.
